What Should Be Included on a Corporate Event Photography Shot List? | Arlington Heights Corporate Event Photographer

I approach every event with a holistic and comprehensive workflow to cover as many elements of the event as possible. Since every event is unique and every client has things that are priority for them over others, it is helpful for the client to provide a short but specific shot list to ensure your photos are best customized to their needs. If you are planning an event, you may be wondering what photos you should make sure to communicate to your photographer. Whether you're hosting a conference in Schaumburg, a fundraiser in Arlington Heights, or a corporate celebration anywhere in the Chicago suburbs, having a concise shot list helps ensure you receive the most important images you'll use long after the event is over. In this blog, I will go over parts of my photo workflow and highlight the areas you may choose to convey a special focus on.


Start With the Details

I encourage clients to start photo services 30-60 minutes before guests arrive. During this time, I like to capture the event space while everything is fresh and untouched. This includes the venue setup, table décor, centerpieces, signage, registration areas, sponsor displays, branded materials, and any special details that took months of planning. These images are often overlooked, but they're some of the most useful photos for future marketing materials, sponsorship proposals, annual reports, and event promotions. If you've invested time and resources into creating a beautiful event, you'll want professional images that showcase those details.



Capture Guests Arriving

The energy of an event starts long before the first speaker takes the stage. Guest arrival photos help document the excitement of the day as attendees check in, reconnect with colleagues, and begin conversations. These candid moments often become some of my clients' favorite images because they feel authentic and natural. They also help tell the story of the event from beginning to end rather than focusing only on the scheduled program.

Keynote Speakers

Keynote speakers, presenters, and panel discussions are an important part of conference and corporate event photography and are most often listed as a top priority for clients. I like to capture speakers from multiple perspectives including wider shots that show the audience and tighter images that highlight expression and engagement. These photos are often used for websites, future event promotion, social media, and speaker marketing materials.

Audience Reactions

One thing many people don't think to include on a shot list is the audience. Photos of attendees listening, laughing, applauding, networking, and engaging with presentations help show the success and impact of your event. If you're promoting next year's conference or looking to attract sponsors, these images are often just as valuable as photos of the speakers themselves because they demonstrate participation and engagement.

Networking and Conversations

Some of the most important moments happen between the scheduled activities. Networking is often one of the primary reasons people attend conferences, industry events, and business gatherings throughout Arlington Heights and the Chicago suburbs. Capturing attendees connecting, exchanging ideas, and building relationships helps communicate the overall experience of the event. These images frequently become favorites for websites, social media content, and future event marketing.

If your event includes sponsors, make sure they are part of your photography plan. Sponsor signage, booth interactions, branded displays, and sponsor representatives engaging with attendees should all be documented throughout the day. Not only do these images provide value to current sponsors, but they can also help attract future sponsorship opportunities. For many organizations, sponsor visibility is one of the most important goals of event photography.

Awards, Recognition, and Special Announcements

Award presentations, employee recognition, fundraising milestones, and special announcements deserve extra attention because these moments usually happen only once. A little planning ahead of time between the client and photographer helps ensure they're captured professionally and without interruption. If there are specific individuals or groupings that need to be photographed, this information needs to be shared with your photographer prior to the event.
