Are you planning for a medical or dental branding photoshoot? Learn how to prepare your office and staff to create professional branding photos that build trust and attract new patients.

A professional branding photoshoot is about much more than just updating your headshot. It's an opportunity to see the details of your practice, introduce the people behind your business, and create a collection of professional images that can be used across your website, social media, advertising, patient education materials, and marketing campaigns for years to come. For many prospective patients, your website is their first interaction with your practice. Before they schedule an appointment, they are already asking themselves questions like, "Does this office look clean?" "Will the staff be friendly?" "Can I trust this provider?"  Professional branding photography helps answer those questions before they even enter the office. The best branding sessions happen with a little preparation. By planning ahead, organizing your space, and helping your team feel comfortable, we can spend less time fixing distractions and more time creating authentic images that represent the quality of care you provide.

Schedule Your Session During Non-Patient Hours

Whenever possible, schedule your branding session when your office is not seeing patients. Early mornings, lunch hours, evenings, or weekends often work best because they allow me to move freely throughout the space without interrupting patient care. Having dedicated photography time creates a more relaxed environment for everyone involved. Your team won't feel rushed between appointments, treatment rooms remain available, and we can capture a wider variety of photos while maintaining patient privacy.

Declutter Your Office

One of the biggest surprises for clients is how much the camera notices. Items that blend into the background during a normal workday can become distractions in professional photos. Paperwork on desks, charging cables, sticky notes and other personal belongings can take attention away from the people and spaces you want to highlight. Even something as simple as streaks on mirrors can become very noticeable in high-resolution photos. Doing a thorough cleaning before your session is one of the easiest ways to elevate your photographs and showcase the pride you take in your practice. Clear your countertops, organize treatment rooms, and remove unnecessary items to create a clean, welcoming environment before the shoot. Before your session, take one final walk through your office as if you were a patient visiting for the first time. The space should feel neat and professional to ensure you get the best photos.

Create a Shot List

One of the best ways to maximize your branding session time is to create a shot list beforehand. Think about how you will use your photos and what areas of your practice you want to highlight. Your session may include provider headshots, team portraits, reception images, waiting room photographs, treatment rooms, the building's exterior, office details, and technology throughout your office. Planning these images in advance helps me work efficiently and ensures that everything you need for your website, social media, and other marketing materials gets captured.

Plan for Lifestyle and Action Photos

While professional headshots are important, some of the most impactful images from your branding session are the ones that show your practice in action. These photos help future patients visualize what it's like to visit your office and build trust before they even schedule an appointment. Action shots can be created with real patients or volunteer models, such as family members, friends, or staff acting as patients. Key action shots might include a physician taking a patient's blood pressure, listening to their heart with a stethoscope, discussing a treatment plan, or performing a routine physical exam. These authentic, guided interactions often become some of the most valuable images from your session because they're perfect for your website and other marketing materials. They provide insight to the care your practice provides instead of just showing what your office looks like.

Coordinate Your Team's Appearance

Your team does not need to dress identically, but a consistent and polished appearance helps create a professional brand image. Fresh scrubs or professional attire photograph best. If your practice has brand colors, then implementing them into your clothing can help create a cohesive look across your team. Encourage staff to avoid distracting patterns or large logos, and take a few moments to ensure name badges and uniforms are neat before photography begins. Small details like these contribute to an overall impression of professionalism and attention to detail.

Help Your Staff Feel Comfortable

The goal of branding photography is not to create stiff, overly posed images. Instead, I like to focus on capturing genuine interactions and the personality of your team. I'll offer guidance on posing, expressions, and natural movements to make your staff look their best. However, some of the best photographs happen in between poses too—the moments when your team is laughing, talking, and simply being themselves.

Protect Patient Privacy

Patient confidentiality should be taken into consideration during a healthcare branding session. Before photography begins, make sure computer monitors are locked or displaying non-sensitive information, patient charts are stored away, whiteboards are cleared, and paperwork containing personal information is removed from view. If actual patients will appear in photographs, signed photo consent forms provided by you should be completed beforehand. Taking these precautions allows me to create authentic photos while also maintaining the confidential aspects and trust your patients expect.

Gather the Details That Tell Your Story

Some of the most useful branding images do not always include people. Close-up shots of your signs, equipment, decor, and other details help complete the visual story of your practice. You may want to include these in your shot list! These images are especially useful for websites and social media because they add variety while reinforcing your brand. If there are specific tools, products, or areas of your office you would like featured, have them cleaned and ready before the session. Small details help create photos that feel intentional and polished.

Branding photography is one of the most valuable investments you can make in your marketing because it allows potential patients to experience your practice before they even walk through the door. When your office is prepared, your team is comfortable, and we have a clear plan for the session, the result is a collection of photos that communicate trust, compassion, and professionalism for years to come.
