A Corporate Event Photography Timeline - What to Schedule & When | Arlington Heights Corporate Event Photographer

When clients are ready to book their photo coverage, they often don't think to consider that the photo start (or end) times may differ from the event start (or end) times. I'm here today to discuss not only what photo timeline planning for your event day looks like but also photo considerations during your planning phases.
Whether you're planning a conference in Rosemont, a fundraiser in St. Charles, a company party in Schaumburg, or a gala in Arlington Heights, having a photography timeline helps make sure nothing important gets missed. After photographing corporate events throughout the Chicago suburbs, I've found that a little planning goes a long way. Here is the timeline I recommend for most events.

1–3 Months Before Your Event
This is usually when companies book their event photography. The earlier you reach out, the better chance you have of securing your preferred date—especially during busy season in the fall. At this stage, I like to learn more about the event and what is most important to my client. Every event is different. Some organizations want lots of candid networking photos while others are focused on keynote speakers, sponsors, or award presentations. Knowing your goals ahead of time helps me customize your photo experience and create images that will actually be useful after the event is over.
Two Weeks Before the Event
A couple weeks before the event, I will send out a questionnaire to capture details of your day. It is helpful to send your photographer a schedule of events as well. I don't need every little detail, but knowing when speakers begin, when awards are presented, or when special guests arrive helps me prepare.
This is also a good time to discuss any must-have photos. For example:
Executive team photos
Sponsor recognition
Group photos
Award presentations
VIP guests
Having a plan ensures those important moments aren't missed.
Event Day: Schedule Photo Early
One of the biggest, common oversites I see is scheduling photography coverage to begin right when guests arrive. I always recommend starting photo at least 30–60 minutes before the event starts. This gives me time to capture:
The venue setup, table décor, sponsor signage, registration area, and any branding elements before guests fill the room. These photos are often some of the most valuable images for future marketing materials.
Guest Arrival
Once attendees begin arriving, the focus shifts to storytelling.
This is when I capture guests checking in, greeting colleagues, networking, and getting settled before the program begins. These candid moments help tell the complete story of your event and showcase the energy of the day.
During the Program
For conferences, galas, and corporate meetings, this is typically where the bulk of photography coverage happens. I focus on capturing speakers, audience reactions, presentations, sponsor visibility, and moments of engagement throughout the room. Some of my favorite images often come from audience reactions—people laughing, applauding, or connecting with the content being presented. Those images help future attendees envision themselves at your next event.
Awards, Fundraisers, and Recognition Moments
If your event includes awards or fundraising activities, these moments deserve special attention.
Award presentations, check presentations, donor recognition, and milestone announcements are often the photos that end up in newsletters, annual reports, press releases, and social media posts.
A little coordination beforehand helps ensure everyone is looking in the right direction and those moments are captured cleanly.
Networking Time
Some of the strongest corporate event photos happen between scheduled activities. The conversations during cocktail hour, guests reconnecting with colleagues, and executives interacting with attendees often become the images companies use most on their websites and marketing materials. That's why I always recommend keeping photography coverage through at least part of the networking portion of the event.
After the Event
The event may be over, but your photos are just getting started. Professional event photography can be used for social media, websites, recruiting materials, annual reports, sponsorship packages, email marketing, and future event promotions.
A successful event lasts one day but great event photos continue working for your business all year long.
